Exports
Exports are prepared in the background: you ask for one, carry on working, and RegistroViajero tells you when it is ready. You do not need to keep the tab open or wait for it to finish.
You will find them under Exports, the download icon at the top right next to the bell. The number on the icon is not unread alerts: it is how many exports are currently being built.
What you can export
| Export | What it contains | Where you request it |
|---|---|---|
| Traveller reports (.zip) | One PDF report per registration, grouped into one folder per accommodation | Registrations list → Filters → Export |
| Registrations (.csv) | A list with the columns Reference, Property, Check-in, Check-out, Status, Guests, and Created | Registrations list → Filters → Export |
Those two go through the export centre. There are also two downloads that are generated immediately and do not appear under Exports:
- PDF of one registration (Download PDF) — a summary of that registration with its guests' data. It is in the registration's Actions menu, and also in each row's menu on the Registrations list and on the accommodation's page.
- Guests (.csv) — from the Guests list, under Filters → Export.
How to request an export
- On the Registrations list, open Filters.
- Set the filters you want: accommodation, state, dates, search. The panel tells you how many registrations are about to be exported before you do anything.
- Under Export, pick Export traveller reports (.zip) or Export registrations (.csv).
What gets exported is what you set in the panel — you do not need to apply the filters to the list first. For example: you can export the reports only for registrations already confirmed by the Ministry without changing what you are looking at. More detail in Filtering and searching lists.
Clicking twice does not create two exports
If you request the same export with the same filters while the previous one is still being prepared, RegistroViajero reuses the one already running instead of starting another.
Export states
| State | What it means |
|---|---|
| Queued | Requested and waiting its turn. |
| Building | Being assembled. The panel shows progress in registrations processed (4,500 of 10,000). |
| Ready | Finished. The Download button appears. |
| Failed | Could not be generated. Request it again; if it keeps failing, get in touch. |
| Expired | The 30 days have passed and the file has been deleted. Request it again for a fresh copy. |
When an export finishes you get a notification that names the file (and how many parts it has, if it was split), so if you have several running you know which one is ready. Clicking it opens the Exports panel right there: it does not move you to another screen or lose the filters you had set.
The panel lists your agency's 20 most recent exports — yours and your colleagues'. If there are more, it tells you that you are only seeing the latest ones.
The files you get
Files are named for their contents and the date you requested the export:
rv_partes_2026-07-25.zip
rv_reservas_2026-07-25.csvInside the ZIP there is one folder per accommodation, and each report is named after the registration reference and its check-in date:
Apartamento Centro/BK-4471-2026-07-18.pdf
Apartamento Centro/BK-4482-2026-07-20.pdf
Casa del Mar/AB-9930-2026-07-19.pdfExports split across parts
A report ZIP is split every 500 reports. If you request more, you get several numbered files (Part 1, Part 2…) and the name carries the matching suffix:
rv_partes_2026-07-25-1.zip
rv_partes_2026-07-25-2.zipEach file stands on its own: download and open them separately, there is nothing to reassemble. The registrations CSV is never split — it always fits in a single file.
File language
The CSV headers, statuses, and dates are generated in the language of whoever requested the export, not the language of whoever downloads it. If your team works in different languages, the file comes out in the language of the person who clicked Export.
Limit per export
One export takes at most 10,000 registrations. If your filters select more, RegistroViajero does not generate it and tells you how many there are and what the maximum is, so you can narrow the filters and download fewer at a time. Nothing is generated either if the filters select no registrations at all.
Who can download them
Exports belong to the whole agency
The "export ready" notification goes only to the person who requested it, but the file can be downloaded by anyone in your agency from the Exports panel.
Likewise, Delete export removes the file for the whole team, not just for you. If you do, you can always request the export again.
Retention: 30 days
Exports stay downloadable for 30 days. After that the file is deleted and the export is marked Expired: the entry stays in the list as a record of what you requested, but there is nothing left to download.
They contain your guests' personal data
A report ZIP or a registrations CSV is information covered by Royal Decree 933/2021 and the GDPR from the moment it leaves RegistroViajero. Keep it somewhere safe, do not share it over open channels, and delete it when you no longer need it. What happens to the downloaded file is no longer under RegistroViajero's control.
Large exports: what to expect
A ZIP of thousands of reports takes time. RegistroViajero builds it in chunks and notifies you when it is done, so the sensible move is to request it and get on with your work. As a reference, around 10,000 reports take close to half an hour to prepare. Ministry submissions are not delayed by it: they run on their own track.
