General
What is Royal Decree 933/2021?
It is the Spanish regulation that requires tourist accommodation establishments to report guest data to the Ministry of the Interior through the SES.HOSPEDAJES platform. RegistroViajero automates this process.
Do I need to install anything?
No. RegistroViajero is a web application. You only need an up-to-date browser (Chrome, Safari, Firefox, or Edge). Optionally, you can install it as an app on your mobile device.
Do my guests need to create an account?
No. Each guest receives a unique link that opens the check-in form directly. No sign-up, download, or installation required.
Guest registration
What languages is check-in available in?
The guest check-in form is available in 9 languages: Spanish, English, French, German, Italian, Portuguese, Galician, Basque, and Catalan.
Which documents does it accept?
- Spanish citizens: DNI or passport.
- Non-Spanish: passport, identity document from my country, NIE, EU registration certificate, or travel document.
DNI, NIE, and the EU registration certificate additionally require a support number and last name 2, and their number must be a nine-character Spanish number with a check letter. Passport, identity document from my country, and travel document don't require a second last name or a support number.
What about minors?
Minors under 14 are exempt from registration under Royal Decree 933/2021. Those aged 14 to 17 must complete the form and declare their kinship with an adult on the same registration.
Is guest data saved if they close the browser?
Yes. Data is saved automatically after each step. The guest can resume later by reopening the same link.
Can the guest edit their data after signing?
Yes, while the registration is not locked. On the final screen they have an Edit my information button. If the registration is already in Sent to Ministry, Confirmed, Archived, or Blocked, the button is hidden.
Does the guest see their data before signing?
Yes. The signature screen shows a summary of all their data, and they can tap any row to correct it. They are signing a declaration of accuracy about that data, so they see it before signing even when you entered it for them.
Can I fill in a guest's data myself?
Yes. From the registration you can enter all of a guest's data yourself: document, personal details, address and contact. This is the norm for phone bookings or walk-ins. The guest still has to sign from their own link, and if you change something they had already signed they will be asked to review it and sign again.
Can a guest reuse their data across stays?
Yes. On the personal details step, when the guest enters their document number and date of birth, RegistroViajero looks for a previous stay matching both and offers to reuse their information with a single click. The date of birth is required as a second check, so no one can retrieve someone else's data by probing document numbers alone.
What contact details are asked of the guest?
On the contact step, the guest is asked for their email address and phone number. They only need to provide at least one of the two. These let you reach them about any issue with their registration and let them confirm the accommodation is correct.
Submission to the Ministry
How do I get SES credentials?
Credentials are issued by the Spanish Ministry of the Interior. Contact your local immigration office (oficina de extranjería) or police station.
Can I use RegistroViajero without SES credentials?
Yes. You can manage registrations and collect guest data without credentials. Ministry submission is enabled as soon as you configure them.
Does RegistroViajero check my SES credentials?
Yes. After you save credentials, and daily thereafter, RegistroViajero verifies them with the Ministry and shows their status in Settings with a badge: Verified, Rejected by the Ministry, or Not verified. If the Ministry stops accepting a credential, you get a notification so you can fix it before a guest's report bounces. You can also force a check at any time with Test connection.
How long do I have to submit a guest report?
The regulation requires submission at the moment of check-in or within 24 hours of the start of the stay. Late submissions can still be qualified as non-compliance, even if sent later.
What happens if the Ministry rejects a submission?
The registration goes into the Rejected state with the code and message returned by SES.HOSPEDAJES. Fix the flagged fields, re-validate, and resubmit. If the submission fails because the credentials are wrong or expired, RegistroViajero shows you a clear message to check the username and password, instead of a generic service-unavailable notice. How do I annul a registration that's already sent or confirmed?
Open the registration and click Annul filing. RegistroViajero sends a BAJA to the Ministry and returns the registration to Ready to review, with the data intact and ready to resubmit, correct, or archive. No need to create a new registration. More detail in Annul a submission.
Does it work in Catalonia and the Basque Country?
Not yet. These regions use their own systems (Mossos d'Esquadra and Ertzaintza). Integration is planned for future releases.
Billing
How much does it cost?
The Pro plan costs €5 per accommodation per month, with no minimum. You only pay for active accommodations. It includes a 15-day free trial, no credit card required.
Is check-in blocked if my plan lapses?
No. Guests can always complete their data through the check-in links, regardless of your subscription status.
Can I cancel at any time?
Yes. When you cancel, you keep access until the end of the paid period.
What are the penalties for non-compliance with RD 933/2021?
Failure or inaccuracy in the submission is classified as a minor offense (€100–600) under Organic Law 4/2015 on Public Safety. It can escalate to serious (€601–30,000) or very serious (€30,001–600,000) for repeat offenses, volume, or willful misconduct. See the full penalty reference.
Registration import
Which platforms are supported?
Booking.com, Airbnb, VRBO, Expedia, Tripadvisor, Google Calendar, Holidu, Rentalia, and any platform that exports iCal (.ics).
How often are registrations synced?
Automatically every 15 minutes. You can also trigger a manual sync at any time.
Install as an app
Can I install RegistroViajero as an app on my phone?
Yes. On Android (Chrome or Edge) you'll see a banner to install when you open the panel from your phone. On iPhone/iPad, go to Share → Add to Home Screen from Safari. Once installed, you can receive operating-system push notifications.
Security and privacy
How is data protected?
- Passwords and Ministry credentials encrypted in our database.
- Communications over HTTPS/TLS.
- Agency-isolated storage: your agency never sees data from another.
- Immutable activity log.
Can I sign in with Google?
Yes. In Settings → Security you can connect your Google account. From then on you'll sign in with Google. If your Google account's email differs from your current one, your sign-in email is updated to match. You can disconnect Google whenever you like, as long as you've first set a password so you keep a way to sign in.
Can I sign in without typing my password?
Yes. In Settings → Security → Passkeys you can turn on signing in with Face ID, Touch ID, your fingerprint, or Windows Hello. The verification happens on your own device — RegistroViajero only receives confirmation that it was you, never your fingerprint or your face. You can have up to 10 passkeys, and your password still works as a fallback. More detail in Passkeys.
How do I turn on two-factor authentication?
In Settings → Security, click Set up two-factor authentication, scan the QR code with an authenticator app (Google Authenticator, Authy, or similar), and enter the 6-digit code to confirm. Save the backup codes shown: each one works once if you lose access to your app. The owner can require two-factor authentication for the whole team from the security settings. A passkey does not replace two-factor authentication: if you have it turned on, we'll still ask for your code after you sign in with a passkey.
How do I change my sign-in email?
In Settings → Profile, click Change email. For security you'll confirm your current password, you'll be signed out, and you'll sign back in with the new address. We'll send you a link to verify it. If you have Google connected, disconnect it first: while it's linked, your email is managed by single sign-on.
How long is guest data retained?
3 years from the registration's check-out date, as required by Royal Decree 933/2021. The period applies once the registration is in a final state (confirmed, archived, or rejected). After it elapses, the guest's personal data (name, document, signature, and contact) is anonymized automatically, keeping the historical record for legal compliance.
Can I delete my account?
Yes. From Settings → Security → Danger zone. Personal data is anonymized; activity records are retained for legal compliance.
If you are the agency's only owner, you must first transfer ownership to someone else (invite or promote them to owner) before you can delete your account; otherwise the agency would be left with no owner.
